Overview

Vyra Operations is a central hub for warehouse and operations management, integrating with HireHop and Slack. It includes:

• Stock Browser - Browse and manage stock items from HireHop
• Barcode Generator - Create and print barcode labels for assets
• Warehouse Labels - Generate warehouse location labels for shelving
• Goods In/Out - Track inbound deliveries, sub-hired kit, outbound collections, couriers, and returns
• Asset Search - Look up assets by barcode (including camera scanning on mobile)
• User Management - Manage users, roles, and Microsoft 365 login (admin only)

Goods In/Out

Track all inbound deliveries, sub-hired equipment, and outbound collections.

Delivery Types

• Standard Delivery - One-way postal/courier deliveries (e.g. Amazon, parts orders). Courier and tracking fields shown by default.
• Sub-Hire - Equipment hired from another company that needs to be returned. Includes return date, inbound/outbound logistics options.
• Collection - Outbound courier collection. Track what's being sent out, to whom, courier details and tracking.

Status Workflow

Every delivery follows this flow:

• Expected - Delivery has been created and is awaiting arrival
• Delivered - Kit has arrived (requires a photo as proof of delivery)
• Checked - Contents have been checked against the order
• Complete - Delivery is done (returned if sub-hire)

Logistics Options (Sub-Hire)

Inbound (how kit gets to you):

• Courier - Courier name, tracking number, ETA, time slot
• Our Vans - We collect it. Shows address, date, and time fields.
• Supplier Delivers - They bring it to us. Shows date and time.

Outbound / Return (how kit goes back):

• Courier Collection - Courier picks up, with tracking and "booked" status
• Our Vans - We deliver it back. Shows address, date, and time.
• Supplier Collects - They pick it up. Shows date and time.

Key Features

• Delivery Photos - A photo is required when marking a delivery as arrived (proof of delivery)
• Delivery Notes - Upload PDF or image files of delivery paperwork
• Supplier Autocomplete - Supplier name field searches your HireHop address book
• HireHop Job Link - Link a delivery to a HireHop job and push items to the supplying list
• Tracking Links - Tracking numbers auto-detect the carrier (DPD, DHL, Royal Mail, etc.) and show a clickable tracking link
• Slack Notifications - Delivery arrivals are posted to the #deliveries Slack channel with photo and @mention
• Daily Summary - A daily ops summary is posted to #ops at 9am weekdays
• User Tracking - Every action (created, delivered, checked, completed) records who did it and when

Asset Search / Barcode Scanner

Search for assets by typing a barcode or scanning one with your phone camera.

• Text Search - Type a barcode (or partial barcode) and hit Search
• Camera Scan - Tap the camera icon to open the barcode scanner. Point at a barcode and it auto-searches.

Barcode Generator

Create barcode labels for stock items. Barcodes use the format PREFIX-NUMBER (e.g. BAT-1, CAM-15).

Warehouse Labels

Generate and print location labels for warehouse shelving. Labels follow the format ZONE-BAY-SHELF-BOX (e.g. PA-3-B-2).

• Zones - Create zones with a code, name, and colour
• Configuration - Set bay ranges, shelf letters, and box numbers
• Print - Queue labels from multiple zones, then print to A4 sheets (14 labels per sheet)

Admins can change roles from the Users tab. New Microsoft 365 users are assigned the Office role by default.

Login

• Microsoft 365 - Sign in with your @vyra.co.uk Microsoft account (recommended)
• Username/Password - Manual login as a fallback

Printing (Dymo Labels)

• Requires a Dymo LabelWriter printer connected via USB
• Dymo Connect software must be installed and running
• Only works on Windows (Mac not supported due to SSL issues)
• Upload custom .dymo template files in the print dialog
